Conference Coordinator

The Conference Coordinator will be responsible for planning and organizing the conference. They will work closely with the Board of Management and Conference Committee to determine event needs and ensure all logistics are in place for a successful event.

Responsibilities (include but are not limited to):

  • Plan and coordinate all aspects of the conference from start to finish

  • Collaborate with the Board of Directors to determine event goals, timelines, and budgets

  • Negotiate contracts with vendors, food and beverage, transportation for speakers and special guests, and other services in coordination with the Executive Director and Treasurer.

  • Ensure all necessary permits and licenses are obtained.

  • Create and distribute event marketing materials, including invitations, programs, and signage

  • Coordinate with the Registrar for event registration and ticketing, including handling payments and refunds

  • Coordinate event logistics, such as audiovisual equipment, transportation, lodging, and meals

  • Work with exhibitors, sponsors, presenters, and speakers to ensure they have all the necessary materials and equipment for their presentations

  • Oversee on-site event management, including the Conference Committee and volunteers, and handle any issues that arise during the event

  • Create post-event reports to measure success and identify areas for improvement

Salary: $2,000

    1. Waiver of FCSS dues

    2. Waiver of non-reimbursed FCSS Conference registration fees, travel reimbursement for FCSS Conference, including coach airfare or mileage at the current rate, and non-reimbursed single occupancy lodging for three nights.

  2. Travel reimbursement for all required FCSS meeting functions, including coach airfare or mileage at the current rate and single occupancy lodging 

  3. Travel reimbursement for Conference site inspections, including mileage at the current rate and non-complimentary lodging.

  1. Salary and benefits paid to be reduced prorated for the current year if the position is vacated with less than six months’ notice.
